Rental Management
 

SCREENING APPLICANTS
Dakota has developed a successful resident qualifying system that includes personal and professional reference checks, credit reports and verification of income. All applicants are screened consistently in compliance with fair housing directives.

RENTING VACANCIES

Vacant units are advertised on Craig's List and www.dakotapm.com with FOR RENT signage placed on the property. In today's market, newspaper advertising is unnecessary with a few exceptions. Our bi-lingual staff is motivated to find qualified, long-term residents as a result of Dakota's Leasing Bonus Program.


COLLECTING RENT

Rents are collected timely and 3-Day Notices to Pay are served when rent is not received by the 3rd day of every month. When a notice is served, a $25 late fee is charged and deposited to the property account when paid. There are times when payment arrangements can be made with residents depending on the circumstances and the payment history of the resident.


EVICTING RESIDENTS
When rent is not paid and arrangements have not been made, an eviction is started through our attorneys, Kimball, Tirey & St. John. Property owners are notified prior to the start of any evictions. Once a resident is evicted, a Security Deposit Disposition is prepared and mailed within 21 days of resident vacating the property. If resident does not pay debt owed, the resident's account is sent to an agency for collection of the debt and it will appear on the resident's credit report until paid. Cost of this service is a percentage of debt collected and there is a special rate for Dakota clients.

RESIDENTS VACATING
Residents are expected to give a written 30-Day Notice when vacating a property. Once the notice is received, Dakota starts advertising the upcoming vacancy. Property Owner can be notified if desired. After a resident has vacated, the unit is inspected and rent ready services are schedules as necessary. Based on the results from the inspection, a Security Deposit Disposition is prepared and mailed to resident within 21 days of resident vacating the property. Copy is included with all monthly management reports to Owners.
 

Maintenance
 
Maintenance for any property is an integral part of maintaining and improving the value of the property. It is also the area in property management where clients perceive there to be the most abuse. At Dakota, a quality control system has been developed to minimize the cost to owners while maximizing the efficiency of our maintenance team. Dakota charges $30 per hour for maintenance work done on properties.


Owners are contacted for approval when there is an extraordinary repair required.


Dakota currently has a maintenance team who understand the urgency of responding to resident calls quickly and courteously in order to maintain resident relations. However, they are also sensitive to making only necessary repairs in keeping with the property they are working on and not overextending the value of the repair. This is a difficult balance to maintain and is  reviewed every week by Dakota management to keep maintenance costs to a minimum.
